Below are the terms and conditions for booking travel services with the tour operator “Armenian Trip.” Please review the key points before making a reservation.
Booking Request
1. To book services through “Armenian Trip,” you can use the following methods:
- Fill out the special booking form on our website, ensuring all required fields marked with an asterisk (*) are completed.
- Send a request in any format to our official email address.
- Contact our team directly via the phone numbers provided on our website.
2. Special offers apply to individual requests for groups of six or more and are processed separately for each inquiry.
3. Our booking service is free of charge. All costs are clearly stated on our website, with no hidden fees or undisclosed charges. Frequently, we offer special promotions, discounts, and additional services at no extra cost.
4. It is important to note that client personal data is securely protected and used strictly for booking and service provision purposes.
Booking Confirmation Process
1. After submitting a request through the online form, email, or phone call, a responsible travel manager will contact you within 24 hours. Response times may vary depending on workload, but for hotel reservations or tours with a fixed departure time, replies are typically provided within 1-3 hours.
2. To minimize follow-up questions and clarifications, we strongly recommend providing complete and accurate information when filling out the booking form, including any additional requirements and preferences that may influence service selection and pricing. Special attention should be given to the accuracy of contact details.
3. If the submitted information is incomplete or inaccurate, the travel manager will reach out via email or phone to clarify the details. All calls from our company are covered at our expense.
4. Upon submitting your request, you will receive an email notification confirming receipt of your application, listing the details provided. This message serves as an acknowledgment of submission, not as a confirmation from our manager. If you identify any errors in your provided information, please send corrections in response to the email.
5. Throughout the service process, a dedicated travel manager from “Armenian Trip” will be assigned to you, ensuring personalized communication via email and phone. A booking is only guaranteed once you receive written confirmation from “Armenian Trip” via email.
6. The booking confirmation includes a detailed description of the booked travel services, pricing, and payment terms. The final confirmation email typically contains the booking confirmation, an invoice for prepayment, a contract, a voucher, a tour program, contact details of service personnel, maps, routes, and other relevant information.
Payment Process for Booked Services
1. Each booking comes with individual payment conditions. The following payment options are available:
- A deposit payment before service commencement, with the remaining balance payable upon arrival in the country.
- Full payment for services upon arrival in Armenia, either at the beginning, middle, or end of the service period.
- Full prepayment of 100% of the service cost before the services are provided.
2. Currently, card payments are not accepted. Payment can only be made via bank transfer or in cash upon arrival.
3. For international visitors traveling to Armenia, it is often more convenient to pay in their local currency. In such cases, the company can issue an invoice in US dollars, or euros. For international transfers, the prepayment can be made in the chosen currency. Upon arrival in Armenia, the invoice amount is converted into the national currency — Armenian dram — at the exchange rate on the day of payment.
Cancellation of Booked Services
1. To cancel a confirmed booking, you must send a cancellation request via email to your assigned travel manager. If no written confirmation of cancellation is received, we recommend contacting the manager by phone for clarification.
2. Cancellation fees and penalties vary based on the time remaining before service commencement, seasonality, holidays, peak periods, the company’s cancellation policy, and the extent of preparatory work already completed.
3. Each cancellation request is processed individually, with details specified in your booking confirmation from the travel manager.
4. It is strongly advised to familiarize yourself with the cancellation terms in advance and discuss any necessary adjustments to avoid potential financial losses.
